English Phrases for Messaging: 50 Useful Phrases for Email and Chats

English messaging becomes much easier when you have a set of ready-made phrases. You do not need to write every message from scratch. It is enough to learn common patterns: how to start, clarify, ask, agree, postpone a deadline, and end a message.

Below are phrases that work well for work emails, chats, and short messages.

Starting a message

  • Hi Anna,

  • Dear team,
  • I hope you are well.
  • Thanks for your message.
  • Thanks for the update.

For most work situations, Hi + name sounds natural. Dear is better for a more formal email.

Clarifying information

  • Could you clarify this point?
  • Could you send more details?
  • What do you mean by this?
  • Do you have any updates?
  • Could you confirm the deadline?
  • Is this still relevant?

It is best to learn these phrases as full chunks. Especially Could you..., because it is a soft and very useful structure.

Asking someone to do something

  • Could you share the link?
  • Can we discuss it tomorrow?

In messages, it is important to sound polite but not overly complicated. Could you is a very versatile option.

Agreeing or confirming

  • Sounds good.

  • Noted, thank you.
  • I will do it today.

The phrase Noted, thank you is short and convenient when you want to show that you have received the information.

Postponing a deadline or meeting

  • Can we move the meeting?
  • Could we reschedule?

  • I can send it tomorrow.
  • Sorry for the delay.
  • Thanks for your patience.

Do not just memorize the word delay on its own. Learn the whole phrase Sorry for the delay.

Ending a message

  • Best regards,
  • Kind regards,
  • Thanks,
  • Thank you,
  • Looking forward to your reply.
  • Have a nice day.

How to practice

Choose 10 phrases that you can realistically use at work. Add them to flashcards with the Russian prompt. For example: “можете уточнить дедлайн?” — Could you confirm the deadline?

Then write 3 short emails using the template:
